Shot Clocks are a type of Automated Step in AgencyZoom that allows Agencies to automatically move Leads or Service Requests once they’ve hit a certain trigger- typically a time-based trigger.
There are two types of Shot Clocks which are available for both Lead and Service Pipelines, and one type of Shot Clock which is only available on Service Pipelines. In this article, we’ll go over all three types of Shot Clocks.
Neglected Shot Clock
The general layout of the Shot Clock Settings remains the same across all three types, just with different verbage based on what the setting is accomplishing.
The Neglected Shot Clock will automatically reassign the Lead or Service Request to a different Producer and/or CSR. It will do so based on how much time has passed since the Lead or Service Request’s last activity date. Activities can range from emails, to texts, to notes having been left on the Lead or Request. This time can be set to a certain number of Days, Hours, or Minutes.
You can either set the Shot Clock it reassign them to a specific Producer and/or CSR, have it Round Robin between all your users, or have it round robin to an Assignment Group you created.
Aged Shot Clock
The Aged Shot Clock can automatically move Leads and Service Requests to another Stage, another Pipeline, or to another Status like Dead or Smart-Cycle. You can set the Aged Shot Clock to trigger based on two time-based options. 1. How many days the Lead or Service Request has been aging in that stage (Unlike the Neglected Shot Clock, this will purely be based on days passed, and not days since the last activity). Or 2. How many days remain before the Lead’s listed ‘Next Expiration Date’. Once the lead reaches the set trigger date, it will automatically move the Lead or Request.
As for where the Shot Clock will move them- you can either choose for the Aged Shot Clock to move the Lead or Request to another stage in the same pipeline, to another pipeline and stage entirely, or to another Status like “Dead” or “Smart Cycle”.
As a note, if you select for the Aged Shot Clock to move the leads to Smart-Cycle, additional options will populate so you can choose what Pipeline the Lead will recycle into, how long the Lead will remain in Smart-Cycle before recycling.
Overdue Shot Clock (Service Pipelines Only)
The Overdue Service Request Shot Clock is a type of Shot Clock that only applies for Service Pipelines, available on the Pro plan. It’s similar to the Aged Lead Shot Clock- the only difference is the date it triggers is based on the “Due Date” of the Service Ticket. Similar to the Aged Lead Shot Clock it can move leads to other stages or pipelines, but will do so based on how many days are left until the Ticket’s set Due Date, or how many days have passed since the Ticket’s set Due Date.
Tip: You cannot set a Shot Clock to automatically move a Lead to Sold- but you can set a Shot Clock to automatically move a Service Request to Completed. However, the Completed option will show under the “Pipeline” dropdown, rather than the “Stage” dropdown of the Shot Clock Settings.
