A step-by-step guide to integrate AMS360

AMS360 is a powerful integration with AgencyZoom. In this article, we'll break down the setup/connection process and what to expect when using AgencyZoom and AMS360.

Setup and Connection

The AMS360 integration is a 3-step process that we have broken down for you with videos and step-by-step instructions.

Create a new Web Service API in AMS360

Step 1) Start in AMS360

Step 2) Click the “Administration” tab

Step 3) Click “Web Service API”. A window will pop up

Step 4) Click “New”

Step 5) Web Service Application: leave as “Custom”

Step 6) WSAPI Login ID: AgencyZoom

Step 7) Choose Password and Verify Password:

This is the password you will use to integrate with AZ. You create this yourself.

Step 8) Under the “Data Security Based On” section, choose “Entity Access Security Only”

Step 9) On the bottom half of the window under “Entity Access”, choose “Check All”

Step 10) At the top right of the window select “Add”

Complete Notification Service Setup in AMS360

Step 1) In AMS360 click on “Administration”

Step 2) Click “Notification Service Setup”

Step 3) Click “New”

Step 4) Enter “AgencyZoom” on the Notification Client field

Step 5) Under Contact Info, enter your first and last name

Step 6) Click "Add" on the right side of the "Recipient Information" banner

Step 7) Recipient Name = AgencyzoomNotificationClientService

Step 8) Destination Address = https://api.agencyzoom.com/ws

Step 9) Authentication Code = 9C1F7DBC-7AFC-4c92-9B9C-D7B615E78FB0

Step 10) Version = 3.0

Step 11) Make sure Delivery Status is “On”

Step 12) At the bottom of the window there is a section for Notification Types. Go through and check the boxes to Grant All Notifications

Step 13) Click “Save” icon

Final Step: Connect in AgencyZoom

Step 1) Click "My Agency" icon on the left navigation panel in AgencyZoom

Step 2) Click "Integrations" from the list of options

Step 3) Click AMS360

Step 4) Click "Connect" and enter the following:

Agency Number: Find this in AMS360 under the Administration tab. Click the "Edit Agency" button to view your agency number.

WebService API ID: AgencyZoom

WebService Password: This is the password you setup under the Web Service API section in AMS360.

Step 5) Complete settings and field mapping

After you're done with that... YOU ARE INTEGRATED!! 🎉

**Please note the amount of time it takes for all of your data to initially sync between AgencyZoom and AMS360 varies greatly depending on your integration settings and the amount of data syncing between the systems. We usually tell people to give the integration at least 24 hours for the initial sync.

Using AMS360 and AgencyZoom

Woot woot...No more double entry!

When you create/update leads in AgencyZoom, we'll automatically update AMS360 at the same time.

This article will help you understand what we sync and when we do it.

When you create a lead in AgencyZoom

  • We'll create a Prospect in AMS360

  • There is a search to avoid duplicates

  • If it's a Commercial lead, we'll update the firm name in AMS360

  • We'll also update the Phone Number, email, and address

When you create a note in AgencyZoom

  • We'll record an activity in AMS360 and put the entire note in the activity

When you send/receive an email in AgencyZoom

  • We'll record an activity in AMS360 and put the entire email in the activity

When you send/receive a text in AgencyZoom

  • We'll record an activity in AMS360 and put the entire text in the activity

When you create a task in AgencyZoom

  • We'll create a suspense in AMS360 set for the correct date/time

  • We'll also record an activity in AMS360 and indicate the suspense was created

When you mark a task complete in AgencyZoom

  • We'll mark the suspense completed in AMS360

When you add a quote to a lead in AgencyZoom

  • We'll record an activity in AMS360 indicated a quote was created and include details about the quote

When you move a lead to Sold in AgencyZoom

  • We'll update the prospect to a Customer in AgencyZoom and we'll create a policy shell in AMS360

  • The creation of a policy shell depends on your system settings in AgencyZoom

Here is a detailed list of what information syncs over from AMS360 to AgencyZoom and shows in the My Customers tab.

Important:

  • Type must = Customer. Otherwise, we do not sync it over into My Customers in AgencyZoom.

  • We sync both Active and Inactive Customers. The default filter of My Customers is set to show you Active Customers.

  • If Firm Name is used, we will show that as the Customer Name and use the First and Last Name as the contact.

  • Green Box = We sync this data over

  • Orange Box = We will sync this data over in the short future
