Managing your leads is an integral part of your business. This article outlines everything you need to know about efficient lead management.
Managing your leads in Agency Zoom is done in the Pipeline. From the “Leads” page, you have the ability to look at all your leads either through the lens of an organized pipeline or in a list format. To view your leads in a list, click on "Leads" next to the blue "Pipeline" toggle.
How to Add Leads / How to Import a Lead List from a CSV file
The two basic ways to add leads into AgencyZoom are 1) adding leads one by one or 2) importing a lead list. If you're looking for how to create a Web Lead Integration, visit our articles on Email Integrations or Webhook Integrations.
To add a lead individually, you can use the "+ Add" button in the upper right corner and select "Add a Lead" from most pages in AgencyZoom.
To import a Lead List, click the "Actions" dropdown in the upper right corner and click "Import Leads" to start.
The next screens will prompt you through the process step-by-step to import your list but we've also created this video to show you how it's done!
How to Delete a Lead
On the Leads page > Click the Leads Toggle > Locate the name you want to delete > Click the Checkbox next to the leads name > Delete.
How to put a Lead in Dead
The “Dead” section of the AgencyZoom pipeline is for leads that are a “No Go”. They may have told you never to contact them again or maybe there isn’t a product or service available for their situation (now and even in the future).
Go to Leads
Click and drag the lead card toward the bottom of your screen.
You will see a red box pop-up on the bottom of your screen. Simply place your lead on top of the red dead deal box.
Select a loss reason, enter any comments, select whether you want to cancel any open tasks, and click Save.
What is Smart-Cycle?
Smart-Cycle is a bucket that you can drop unsold quotes into and we'll make sure they automatically recycle back at the perfect time.
For example, perhaps your lead's accident or claim is falling off soon or they have an upcoming X-Date. You can move that lead to Smart-Cycle and the system will automatically put the lead on the back burner until the date you've selected. Once the date comes, AgencyZoom will place the lead back in the pipeline and stage you selected with all of the prior comments/notes and notify the lead owner.
How to use Smart-Cycle to Automatically Recycle Leads
Click and drag that lead to the bottom left of your screen to the "Smart-Cycle" Stage
You're required to select the following: 1) a recycle event, 2) the date you want the lead back in your pipeline, and 3) the pipeline and stage you want it to return to
Optionally, you can also change the lead source or add tags to the lead when it comes back into your pipeline, and you can also cancel any open tasks related to the lead.
Add any notes then save
Once a lead is moved to the Smart-Cycle stage, it will stay there until the selected date. You can see a list of all of your leads in the Smart-Cycle stage by either clicking the Smart-Cycle Button for a list view or clicking "Actions" > "Show Smart-Cycle List" from the list view or by clicking the recycle icon from your pipeline.
