Authenticate Your Domain and Add a Sender

Domain Authentication allows AgencyZoom to send eligible emails using a domain your agency owns or is authorized to use.

Emails sent using an Authenticated Domain are delivered through AgencyZoom's email delivery service while representing your agency's verified sending identity.

Domain setup is completed under:

System Settings → Email Delivery → Domain Authentication

Step 1: Add your domain

Select + Domain.

Enter the domain your agency wants to use, such as company.com.

Select Get DNS records.

AgencyZoom will determine whether the domain needs to be authenticated through DNS or has already been authenticated with AgencyZoom.


Step 2: Verify your domain

The verification process depends on whether the domain has previously been authenticated with AgencyZoom.

If the domain has not been authenticated before

AgencyZoom will provide the DNS records needed to verify control of the domain.

Add the provided records through your company's domain registrar or DNS provider. If you don't manage your agency's DNS, you may need assistance from your:

  • internal administrator or IT team

  • website provider

  • domain registrar

  • other provider that manages your DNS

Important: DNS records used for domain authentication should not be proxied. If your DNS provider offers a proxy option for CNAME records, configure the records as DNS only.

After the records have been added, return to System Settings → Email Delivery → Domain Authentication and complete verification by refreshing the status.

If the domain has already been authenticated with AgencyZoom

You will not need to authenticate the domain through DNS again.

Instead, AgencyZoom will ask you to verify that your agency is authorized to use the domain.

Enter an email address associated with the domain and select Send verification code.

For example, if you're adding:

company.com

the verification email must be sent to an address using that domain, such as:

admin@company.com

An email address from another domain cannot be used.

AgencyZoom will send a verification code to the email address you entered.

Enter the code and select Verify domain.

Verification codes expire after 10 minutes. A new code can be requested after the 1-minute resend period.

Once successfully verified, the domain can be used with your AgencyZoom account.


Step 3: Add your sender

Once your domain has been successfully verified, navigate to:

System Settings → Email Delivery → Senders

Select + Add Sender.

Enter:

  • From name – the name recipients will see when receiving the email

  • From email address – the email address AgencyZoom will use as the sender

The sender email address must use your authenticated domain.

Confirm the acknowledgment and select Add new sender.

Your domain must be verified before you can add your sender.

Once your sender has been added, AgencyZoom can use your Authenticated Domain for eligible emails.


Frequently Asked Questions

Why am I being asked for DNS records?

If your domain has not previously been authenticated with AgencyZoom, DNS records are used to verify that your organization controls the domain.

AgencyZoom provides the records that need to be added. The DNS changes themselves are completed through your domain registrar or DNS provider.

Why am I being asked for an email verification code instead of DNS records?

Your domain has already been authenticated with AgencyZoom by another AgencyZoom account.

Rather than requiring the same domain to be authenticated through DNS again, AgencyZoom asks you to verify an email address associated with the domain. This confirms that your agency is authorized to use the domain with its AgencyZoom account.

Why won't AgencyZoom accept my verification email address?

The email address must match the domain you're adding.

For example, if you're adding company.com, you could use admin@company.com. An email address using a different domain cannot be used.

I didn't receive my verification code. What should I do?

Confirm that the email address is correct and can receive email.

A verification code is valid for 10 minutes. If necessary, you can request another code after the 1-minute resend period.

My verification code expired. What should I do?

Select Resend Code to request a new verification code, then enter the new code to complete domain verification.

What if I don't have access to my agency's DNS records?

If the domain has not previously been authenticated with AgencyZoom, you may need to work with whoever manages your agency's domain or DNS.

This may be an internal administrator, IT provider, website provider, or domain registrar.

Why can't I add my sender?

Your domain must be successfully verified for your AgencyZoom account before you can add your sender.

The sender email address must also use the authenticated domain.

Why is my domain still showing as Pending?

DNS changes can take up to 48 hours to propagate. If your domain remains Pending, confirm that all DNS records shown in AgencyZoom have been added exactly as provided.

If your DNS provider supports proxying, make sure the authentication records are configured as DNS only and are not proxied.
