Email Delivery Improvements

We're making changes to how email is sent through AgencyZoom to improve email deliverability, protect agency sending reputation, and provide more reliable email processing.

As part of this release, agencies can now authenticate their own email domain and configure sender email addresses for use with AgencyZoom.

TL;DR

Beginning December 3, 2026, Authenticated Domain will replace AgencyZoom's Notification Service for customer emails sent through AgencyZoom.

Authenticated Domain will serve as:

  • An alternative to Integrated Email for one-to-one emails and Automation

  • A fallback when Integrated Email is temporarily unavailable

  • The primary sending method for Batch Email from List Views

Action may be required: To avoid interruptions, connect your email account or authenticate your agency's domain and add a sender before December 3.

What's changing?

AgencyZoom will use three methods to deliver email:

Sends through AgencyZoom's email delivery service using a domain your agency owns and has authenticated

The appropriate sending method depends on the type of email being sent.

How will my emails be sent?

System notifications are not affected. AgencyZoom will continue sending application-generated notifications such as password resets, sales alerts, and daily recaps.

What does my agency need to do?

The steps your agency should take depend on how you send email through AgencyZoom.

One-to-one Email and Automation
Connect your Microsoft or Google mailbox to AgencyZoom. When an Integrated Email is available, AgencyZoom will prioritize sending through that mailbox.

If an Integrated Email is unavailable, an Authenticated Domain can provide an alternative or backup sending method.

Batch Email from List Views
Authenticate your agency's domain and add the sender email addresses your agency intends to use.

Beginning December 3, an Authenticated Domain will be required to send Batch Email from List Views.

Set up your Authenticated Domain

Domain Authentication allows AgencyZoom to send eligible emails through AgencyZoom's email delivery service using a domain your agency owns and has verified.

Setup includes two steps:

  1. Authenticate your domain by adding the DNS records provided by AgencyZoom

  2. Add your senders after the domain has been successfully verified

Your domain must be verified before the sender email address using that domain can be added.

Frequently asked questions

Do I need both Integrated Email and an Authenticated Domain?

Not necessarily. It depends on how your agency uses email in AgencyZoom.

Integrated Email allows AgencyZoom to send through an individual user's connected Microsoft or Google mailbox.

Authenticated Domain allows AgencyZoom to send through AgencyZoom's email delivery service using your agency's verified domain.

If your agency uses Batch Email from List Views, you will need an Authenticated Domain beginning December 3.

Why don't emails sent using my Authenticated Domain appear in my Sent folder?

Emails using an Authenticated Domain are sent through AgencyZoom's email delivery service rather than through your Microsoft or Google mailbox.

Because your mailbox did not send the message, it will not appear in your Sent folder.

What happens when someone replies to an email sent using my Authenticated Domain?

Replies are directed to the AgencyZoom user's email address.

If that mailbox is integrated with AgencyZoom, the incoming reply will also be recorded as an activity in AgencyZoom.

If the mailbox is not integrated, the user will still receive the reply in their mailbox, but the reply will not be recorded as an AgencyZoom activity.

Does every user need to authenticate our domain?

No. Domain Authentication is completed at the agency level.

Once the domain has been successfully verified, your agency can add the sender email addresses that should be available for sending.

Why can't I add a sender?

The sender's email domain must be successfully authenticated before a sender using that domain can be added.

For example, before adding john@exampleinsurance.com as a sender, exampleinsurance.com must first be authenticated and verified.

What if I don't have access to my agency's DNS records?

You may need to work with whoever manages your agency's domain. Depending on your agency, this may be an internal administrator, IT provider, website provider, or domain registrar.

AgencyZoom will provide the DNS records that need to be added, but the DNS changes themselves are completed outside of AgencyZoom.

What happens if we don't make changes before December 3?

Beginning December 3, the previous fallback method of AgencyZoom's notification service for customer emails will no longer be available.

If the appropriate Integrated Email or Authenticated Domain configuration is not available for the email you're attempting to send, sending may be unavailable.

Batch Email from List Views will require an Authenticated Domain.


New Business Reports: Filter by State

You can now filter New Business Reports by state, making it easier to analyze new business performance across the markets where your agency operates.

The new multi-select State filter is available for:

  • Sales by Producer

  • Sales by Lead Source

  • Sales by Zip Code

  • Sales by Policy Line

  • Sales by Carrier

  • Sales by Location

  • Sales by CSR

Select one or more states to update the report totals, charts, and details based on your selection.


API Authentication: JWT Refresh

We've added a JWT refresh mechanism to make it easier and more secure for third-party integrations to maintain ongoing access to the AgencyZoom API.

This helps integrations remain connected while reducing the need to store AgencyZoom credentials.
